Send File by Scanner
Print Job/Stored File > Document Server > Document Server > Send File by Scanner

This page displays a list of files to be sent by scanner from the Document Server to a specified shared folder or email address. To open this page, select a scanner file on the Document Server page and click Send.

Note

Total Files to Send

Displays the number of files to be sent using the scanner.

Total Pages

Displays the total number of pages to be sent using the scanner.

List of Files to Send

Displays the list of files to be sent using the scanner. Files in the list are sent in order as single files, starting from the top.

File control buttons

To change the order of sending, select a file and click one of the buttons under the list.

Top

Move the file to the top of the list.

Up

Move the file up one position.

Down

Move the file down one position.

Bottom

Move the file to the bottom of the list.

Remove

Click to remove a selected file from the list.

Check before Sending

Click to verify that the transmission settings (destination addresses and send options specified on this page) can be applied to the files listed under List of Files to Send.
If you click Check before Sending, a message indicating whether or not the transmission will be successful appears above the button.

Add/Delete Destination(s)

Specify a shared folder and/or email address to which the scanner files are sent.

Add

Click one of the following buttons according to the destination type (folder or email address):

Email

Select Email to add an email address. When you click this button, the Add Email Destinations page appears.

Folder

Select Folder to add a shared folder. When you click this button, the Add Folder Destinations page appears.

Delete

Click to remove a selected destination from the list.

List of display items

To add to a destination, select the check box to the left of the recipient. The number of selected destinations appears above the list.
The list contains the following items:

Send Method

Displays the type of destination (Email or Folder).

Details button

When you click this button, one of the following pages appears depending on the type of destination and on how you added it:
The Check Group Destinations page appears if you selected a group from the Address Book stored on the device.
The Email Destination Details page appears if you specified a destination by entering the email address directly, or by selecting it from the Address Book stored on the LDAP Server.
The Folder Destination Details page appears if you specified a destination by entering the folder path directly.

Encryption

Displays a padlock icon when S/MIME encryption is enabled for the email address.

Expiration Date

Displays the expiration date of the destination's certificate.
If [Warning] The certificate has expired. is displayed, the certificate is expired. If [Note] The certificate will expire soon. is displayed, the certificate is near expiration.

Entry No.

Displays a user- or group-specific number assigned when the user or group is registered to the Address Book. The User icon to the left of the entry No. indicates a user. The Group icon indicates a group.

Note

  • A registration number appears if the destination is registered to the Address Book stored on the device.

Name

Displays the name of the user or group.

Destination(s)

Displays the destination (email address or shared folder path).

Folder Type

If the destination is a shared folder, the folder type (FTP, NCP, or SMB) is also displayed.

To, Cc, Bcc

If the destination is an email address, select the To, Cc, or Bcc check box.

Sender

To Top of the Page

If user authentication is enabled, the current logged-on user is the sender.
If user authentication is not enabled, you can select a sender from the Address Book by clicking Change to the right of Sender.

To specify or change the sender, click Change to open the Specify Sender page.

File Format

Select the file format to be used when the file is sent by scanner.

Add Extracted Text to File Name

Specify whether or not to automatically name a PDF file if the file is in the OCR Scanned PDF format.
If you select On, this function uses OCR to analyze the text embedded in the scanned file and then adds the most proper strings to the file name.

Reception Notice

Specify whether to request return mail that confirms the receipt of the file.

Note

Subject Name

If necessary, enter the email subject.
If left blank, the default subject specified on the device is used.

Note

Encryption

Specify whether or not to encrypt a job using S/MIME.
When On is selected, click Refresh to reflect it to the destination list.

Signature

Specify whether or not to apply a digital signature when encrypting a job using S/MIME.

Send

Click to send the listed file(s) by scanner using the specified settings.

Cancel

Click to cancel sending and return to the Document Server page.
