This section describes the settings in [Send (Email/Folder)] under [System Settings].

How to Use the "Settings"

Email

Setting Items

Description

SMTP Server

Enter an IPv4 address or host name of up to 127 alphanumeric characters for the server name. Spaces are not allowed.

Specify whether to use the secure connection (SSL) or the port number.

  • Default

    • Use Secure Connection (SSL): [Off]

    • Port Number: [25]

Configuring the Initial Settings to Send E-mails

SMTP Authentication

Specify whether to enable or disable SMTP authentication.

  • Default: [Off]

When you select [On], specify the following authentication information:

  • User Name

    Enter the user name used for SMTP authentication.

    Depending on the SMTP server type, "User Name" must be entered as "user name@realm".

  • Email Address

    Enter the e-mail address of the SMTP authentication user.

  • Password

    Enter the password used for SMTP authentication.

  • Encryption

    Specify as follows according to the authentication method of the SMTP server.

    • PLAIN, LOGIN, CRAM-MD5, DIGEST-MD5: [Auto]

    • CRAM-MD5, DIGEST-MD5: [On]

    • PLAIN, LOGIN: [Off]

POP before SMTP

Specify whether to enable or disable POP authentication (POP before SMTP).

  • Default: [Off]

When you select [On], specify the following authentication information:

  • Wait Time after Authentication

    Specify the waiting time before connecting to an SMTP server after POP3 server authentication. Enter a value between 0 and 10,000 milliseconds.

  • User Name

    Enter the user name used for POP3 server authentication.

  • Email Address

    Enter the e-mail address of the POP3 server authentication user.

  • Password

    Enter the password used for POP3 server authentication.

Note

  • Before specifying [POP before SMTP], you must specify [POP3/IMAP4 Settings] and [Email Communication Port].

Reception Protocol

Specify the Reception Protocol for e-mails.

  • Default: [POP3]

POP3/IMAP4 Settings

Specify the POP3/IMAP4 server name. The specified server information is used for e-mail reception or authentication by POP before SMTP.

Enter the Host Name or IPv4 Address in the server name. Specify [Auto] or [On] for encrypting the password according to the POP server settings.

You can select [SSL/TLS] or [STARTTLS] for Encrypt POP3/IMAP4 Connection when receiving an e-mail or authenticating in POP before SMTP. You can also verify the server certificate.

  • Default

    • Encrypt POP3/IMAP4 Connection: [Off]

    • Encrypt POP3/IMAP4 Password: [Auto]

    • Validate Server Certificate: [On]

Administrator's Email Address

Specify the Administrator's Email Address of the machine. This e-mail address is used as [Sender] for sending the scanned data by e-mail using the Scanner function or the sender's address of the error notification e-mail. When conducting SMTP authentication for e-mail transmission, this address will appear in the "From:" box.

Email Communication Port

Specify the port number for the POP3/IMAP4 Server used for e-mail reception. The POP3 Port Number is used for [POP before SMTP].

  • Default

    • POP3: [110]

    • IMAP4: [143]

Email Reception Interval

Specify whether to receive e-mails automatically. You can also specify the time interval to contact the server (2 to 1440 minutes).

This setting item is valid only when [POP3] or [IMAP4] is selected for [Reception Protocol].

  • Default: [On], [15] minute(s)

Maximum Reception Email Size

Specify the maximum reception size for e-mails (1–50 MB).

  • Default: [2] MB

Email Storage in Server

Specify whether to store received e-mails on the server. You can specify to save only when an error occurs.

  • Default: [Off]

Register/Change/Delete Email Message

Specify an e-mail message to send on the machine. You can register up to 5 entries.

Registering Fixed Messages

Auto Specify Sender Name

Specify whether to allow e-mail to be sent from the machine without specifying the sender. When you specify [On] but leave the e-mail sender unspecified, the e-mail address specified for [Administrator's Email Address] is used.

  • Default: [Off]

Auto Email Notify

Specify whether to send the error notification to the Administrator's Email Address.

  • Default: [On]

Folder

Setting Items

Description

Default User Name/Password (Send)

Specify user names and passwords required to authenticate the shared folders when sending the scanned data to the specified folder using the Scanner function. If authentication information is not specified to the folder destination in the Address Book, or when no authentication information is specified on the Authentication screen of direct transmission, the authentication information specified by Default User Name/Password (Send) is used.

You can specify the authentication information for SMB protocol and FTP protocol separately.
