Sending Settings

This section describes the settings in [Sending Settings] under [Scanner Settings].

How to Use the Settings Screen

Compression Settings

Setting Items

Description

Compression (Black & White)

Select whether to compress the data of an original scanned in black and white. By compressing the data, you can reduce the time required to send it.

  • Default: [On]

Compression Method (Black & White)

Specify the compression method.

  • Default: [MMR]

Compression (Gray Scale/Full Color)

Select whether to compress the data of an original scanned in multi-level (gray scale or full color). When applying compression, specify the compression level among 5 levels. A lower compression level improves the image quality, but the time required for sending the data becomes longer.

  • Default: [On]: (the second level from the right among five levels)

The compression ratio becomes higher as the number increases.

Compression Method for High Compression PDF

Specify the compression method to use in High Compression PDF files.

  • Default

    • Photo Image: [JPEG]

    • Text Image: [JBIG2]

High Compression PDF Level

Specify the compression level of High Compression PDF files.

  • Default: [Standard]

Email (Text)

Setting Items

Description

Insert Additional Email Information

Select whether to insert additional information (subject, scan date, and the administrator's e-mail address) into the e-mail message.

  • On

Select Language to insert additional information.

  • Off

Only the message specified on the Scanner screen is entered as the e-mail message.

  • Default: [On], [English]

Email (Size)

Setting Items

Description

Maximum Email Size

Specify the maximum size of a file that can be attached to an e-mail when sending the scanned data by e-mail. When selecting [On], specify the upper limit of the file size between 128 and 44,300 KB in [Maximum Size]. Use this setting and specify a size accordingly when the SMTP server to use has a restriction imposed on the size of e-mails.

  • Default: [On], [2048] KB

Divide & Send Email

Select whether to divide an image that exceeds the file size specified in [Maximum Email Size] and send the data by attaching the divided parts to multiple e-mails.

  • No

The machine scans an original and pauses scanning when the size of the scanned data reaches the maximum size. You can select whether to send the data up to the page that is already scanned or discard the scanned data.

  • Yes (per Page)

A file is divided for each page so that the file size stays below the upper limit when sending a PDF/TIFF file with multiple pages.

  • Yes (per Max. Size)

A file is divided at the file size specified in [Maximum Email Size] regardless of the page separation. Specify the maximum number to divide the file to send into between 2 and 500 in [Maximum Number of Divisions].

  • Default: [Yes (per Max. Size)]

Email (URL Link)

Setting Items

Description

File Emailing Method

Specify the method when sending the scanned data in an e-mail.

  • Attach to Email

The scanned data is attached to an e-mail.

  • Send URL Link

The scanned data is stored in the machine and the URL of the stored data is sent in an e-mail.

  • Auto Detect

The scanned data is attached to an e-mail when the size of the outgoing e-mail is smaller than the setting specified in [Maximum Email Size]. When the size exceeds the limit, the data is sent as an URL link. The data is sent as an URL if the e-mail with the data attached exceeds 100 MB even when the upper limit is not specified on the size of an e-mail.

  • Set by User

Select this to specify the method from [Attach to Email], [Send URL Link], [Auto Detect] every time you send data on the Scanner screen.

  • Default: [Attach to Email]

URL File Storage Period

Specify the storage period to retain the scanned data that is sent as an URL in the e-mail (1-168 hours). The data is deleted automatically after the specified period has passed.

  • Default: [24] hour(s)
