Other Security Functions
This section explains the settings for preventing information leakage.
It also explains the functions that are restricted when user authentication is enabled.
Fax function
Not displaying destinations and senders in reports and lists
The machine administrator can specify this.
In [Fax Features], you can specify whether or not to display destinations and sender names by setting "Switch 04, Bit No. 4" and "Switch 04, Bit No. 5" in [Parameter Setting], under [Initial Settings]. Configuring this setting helps prevent information leakage because unauthorized users cannot read destinations and sender names on both the sending and receiving side.
For details, see "Parameter Settings", Fax.
Stored Reception File User Setting
The file administrator can specify this.
In [Fax Features], you can specify which users can manage fax files stored on the hard disk by setting [Stored Reception File User Setting] to [On], under [Reception Settings]. To access the machine over the network, specified users must enter their user codes or login user names and passwords. Only authorized users can manage fax files stored on the hard disk.
For details, see "Stored Reception File User Setting", Fax.
Printing the records
When user authentication is specified, the records are not printed to prevent the personal information in transmission history from being printed automatically. Also, if more than 200 transmissions are performed, transmissions shown in the records are overwritten each time an additional transmission is performed.
To prevent the transmission history from being overwritten, perform the following:
In the Initial Settings menu under Fax Features, specify "Switch 03, Bit 7" in [Parameter Setting] to automatically print the records.
In the Initial Settings menu under Fax Features, specify "Switch 21, Bit 4" in [Parameter Setting] to send the records by e-mail.
For details, see "Parameter Settings", Fax.
Scanner function
Print & Delete Scanner Records
When user authentication is enabled, "Print & Delete Scanner Records" is automatically set to [Do not Print: Disable Send] to prevent the personal information in transmission/delivery history from being printed automatically. In this case, the scanner is automatically disabled when the records history exceeds 250 transmissions or deliveries. When this happens, select [Print Scanner Records] or [Delete Scanner Records]. To print the scanner records automatically, set [Print and Delete All] for "Print & Delete Scanner Records".
For details, see "General Settings", Scan.
WSD scanner function
WSD scanner function is automatically disabled when user authentication is specified. Even if automatically disabled, it can be enabled from "Initial Settings" available in Web Image Monitor controlled from networked computers. (Web Image Monitor is a management tool installed on this machine to monitor this machine or configure settings for this machine by using a web browser.)
For details, see "Preparing to Use WSD Scanner (Push Type)" and "Preparing to Use WSD Scanner (Pull Type)", Scan.
System status
Checking the system status using [Check Status]
If administrator authentication has been specified, [Machine Address Info] is displayed in [Maintnc./Inquiry/Mach. Info] only if you have logged in to the machine as an administrator.
Checking firmware validity
When the machine starts up, this function is used to check that the firmware is valid.
If an error occurs while a verification process is performed, a verification error is displayed on the control panel.
Note that this can also be checked using a web browser from networked computers after the machine starts. (We use Web Image Monitor installed on this machine.) If an error occurs in a verification process of Web Image Monitor, Web Image Monitor cannot be used. If this is the case, check the control panel.
