Configure the default settings for sending scan files.

Note

• Settings on this page can be changed by the following administrators and users:
  • Machine Administrator (Items other than Max. Email Size and Divide & Send Email)
  • Network Administrator (Max. Email Size and Divide & Send Email)
  • Users logged in to a device that is set to perform user authentication
    Users must have normal scanner operation rights and permission to change settings that usually only administrators can change.

Compression (Black & White)

Specify whether or not to compress black-and-white scan files. If you select On, specify the compression format.
Compression reduces the time required for transferring the scan file.

Note

• The actual time required for file transfer will vary depending on the file size and network load.

Compression (Gray Scale/Full Color)

Specify whether or not to compress multi-level (gray scale/full color) scan files.
If you select On, you can specify a compression level of 1 to 5. Higher compression levels reduce image quality but increase the file transfer speed. To maintain image quality, specify a low level of compression and allow for slower transfer speeds.

• The actual time required for file transfer will vary depending on the file size and network load.

OCR Scanned PDF: Blank Page Sensitivity

Specify a sensitivity level for detecting originals that are almost blank sheet when scanning in the OCR Scanned PDF format.

High Compression PDF Level

Select a compression level when creating highly compressed PDF files.

Select a compression method for image data scanned when creating highly compressed PDF files.

Max. Email Size

Specify whether or not to limit the size of an email to which an image is attached.
If you select On, you must enter a size limit between 128 and 102,400 KB.

Note

• If the size limit is determined by SMTP, you must specify that size limit here.

Divide & Send Email

This function is effective only if On is selected for Max. Email Size.
Specify whether or not images exceeding the size specified in Max. Email Size are divided and sent by multiple emails.
If you select Yes (per Max. Size), you must enter a number between 2 and 500 for the Max. Number of Divisions.
If you select Multi-page: TIFF or Multi-page: PDF for Send File Type on the Default Settings for Normal Screens on Device or Default Settings for Simplified Screens on Device page, the image will not be divided, even if Yes (per Page) is selected.
If you select Yes (per Max. Size), some received files might not be restorable, depending on the email application.
If you select No, the email is not sent if its size exceeds the specified limit, and an error message appears. Oversize scan files are deleted.
In Max. Email Size, specify the maximum email size allowed by the SMTP server.

Insert Additional Email Info

Specify the language in which email information such as the title, document name, and administrator's email address appears.
If you select On, you must specify a language. The email text entered on the scanner screen is attached even if Off is selected. Template email text cannot be changed.

No. of Digits for Single Page Files

Specify the number of digits in the serial number that is attached to the names of single page files.

Stored File Email Method

Specify the email setting for sending stored files. You can select Send File or Send URL Link.

Note

• Depending on your email application, a phishing warning might appear after you receive an email message. To prevent phishing warnings appearing after you receive email from a specified sender, you must add the sender to your email application's exclusion list. For details about how to do this, see your email application's Help.
• Depending on your security settings, the file stored at the link address attached to the email might not be viewable.

Default Email Subject

Specify the default text of the email subject line. You can enter the device host name or a text string of your choice.

Refresh

Click to update the currently displayed information.

Note

• Before making the settings, click Refresh to obtain the machine's current status.

OK

Click to apply the settings.

Cancel

Click to cancel the settings.
