Address List
Address Book > Address List
You can change the contents of the Address Book.
Users and groups can be registered to the Address Book.
Note
- Settings for the Address Book can be made by the following Administrators and Users:
- User Administrator
- Logged-on Users
When user authentication is enabled, a logged-on User can change his/her user information.
- The [User Code] option is available only when user authentication is disabled, or if user code management has been set to limit functions by user code.
The [User Code] option does not appear if users are authenticated through Basic Authentication, Windows Authentication, LDAP Authentication, or Integration Server Authentication.
- Access privileges can be given to individual users/groups registered to the Address Book.
Depending on given privileges, a User may edit or delete stored documents/jobs/information about the Address Book, even if he/she is neither User Administrator nor owner of them.
View
Select from the following items you want to display in the list:
- All
- User
- Group
- User code
- Fax
- E-mail Address
- Folder
- Locked Out User
Note
- "Locked Out User" appears only when Basic Authentication (User Authentication performed using Address Book data stored on the device) is enabled, and when you are logged in as User Administrator.
Search for
Select a search item in the [Search for] list, enter a search string in the box to the right, and then click [Search] to start searching for users and groups that match the search criteria.
Available search strings depend on the search item selected.
Note
- To clear the current search criteria and search results, click [Clear Results].
- If [Group] is selected for [View], only [Registration No.] and [Name] are displayed here.
When selecting [Registration No.]
A number between 1 and 50000 can be specified.
When selecting [Name]
Up to 20 characters can be entered.
When selecting [User Code]
Up to 8 digits can be entered.
When selecting [Fax Destination]
Up to 128 alphanumeric characters can be entered.
When selecting [E-mail Address]
Up to 128 alphanumeric characters can be entered.
When selecting [Folder]
Up to 128 characters can be entered.
Page control buttons
Click the buttons above the list to change the display page.
The total number of pages and current page number are displayed between the
button and the
button.
[Go to the first page] button
Displays the first page.
[Go to the previous page] button
Displays the previous page.
[Go to the next page] button
Displays the next page.
[Go to the last page] button
Displays the last page.
[Page] box and [Go] button
Displays the specified page.
Enter the number of the page in the [Page] box, and then click [Go] to display it.
Display Items
Select the number of display items per page.
Number of Registered
Displays the number of users and groups registered to the Address Book.
List of display items
Click the option button to the left of the registration information to select a user or group.
The items displayed are as follows:
Registration No.
Displays a user- or group-specific number assigned when the user or group is registered to the Address Book.
The
icon to the left of the registration No. indicates a user.
The
icon indicates a group.
Name
Displays the name of the user or group.
Freq.
Displays whether the user or group is registered to the Freq. page.
Title 1
Displays the tab to which it belongs, when using Title 1.
Title 2
Displays the tab to which it belongs, when using Title 2.
Title 3
Displays the tab to which it belongs, when using Title 3.
User Code
Displays the user code registered for using a machine function.
Group user codes do not appear.
Volume Used
Displays in units the total volume printed by the user to date. The "group volume" is the total volume (in units) printed to date by all group members combined.
Limit Value
Displays in units the user's print volume limit. The "group limit" is the total volume (in units) printable by all group members combined.
Fax Destination
Displays the destination of the document scanned by the fax function.
Group fax numbers do not appear.
E-mail Address
Displays the e-mail address of the user. Group e-mail addresses do not appear.
Folder
Displays the users' shared folder. Group shared folders do not appear.
Note
- If there is no information entered for [Title 1] to [Title 3], [User Code], [Fax Destination], [E-mail address], or [Folder], "---" appears.
- Both [Volume Used] and [Limit Value] are expressed in units. A "unit" is a per-page numerical value that you can assign to paper sizes and print types. Specifying unit counts allows you to limit user printing according to the combination of print type and paper size. Use the [Print Volume Use Limitation] page to specify unit counts and print limits.
- [Volume Used] and [Limit Value] will appear only if [User Authentication Management] is set to [User Code],
[Basic Authentication], [Windows Authentication], or [LDAP Authentication],
and [Stop Job] or [Finish Job and Limit] is selected for [Machine Action When Limit is Reached] on the [Print Volume Use Limitation] page.
- "---" will appear for [Volume Used] and [Limit Value] if [Off] is selected for [Print Volume Use Limitation] on the [Add User] or [Change User] page.
Buttons
[Refresh]
Click to update the currently displayed information.
[Change]
Select a user and click [Change] to display the [Change User] page.
Select a group and click [Change] to display the [Change Group] page.
[Add User]
Click to display the page where new users can be registered.
[Add Group]
Click to display the page where new groups can be registered.
[Delete]
When clicking [Delete], the confirmation message about deleting the selected user or group appears.
[Maintenance]
Click to display the page for backing up and restoring Address Book data.
[Data Carry-over Setting for Address Book Auto-program]
Click to display the template settings page.
This page enables you to specify a registration template that you can use to auto-register to the Address Book users who have already been authenticated by an external authentication service.

- This button is displayed only when [User Authentication Management] is set to [Windows Authentication], [LDAP Authentication], or [Integration Server Authentication].
